CHAI Systems · Deleting your data

Deleting your data

Approved by the founder on 2026-10-14; in force from publication. A formal legal review follows before the production launch.

This page explains how to have information about you deleted from CHAI Systems, wherever it is kept, and what happens when you ask. It covers this website, a CHAI account, and each of our products. Our privacy notice explains what we collect and why.

How to ask

Use the Register interest form on chai-systems.dev. Give the name and email address you used with us, and say "Delete my data". Say which of the parts below you mean, or "all of it". We confirm you are the person the information is about before we delete anything, and we tell you when it is done. We answer within 30 days, usually much sooner.

Your registration and feedback on this website

What you sent through the website's forms: your name, email address, organisation and notes. We delete it when you ask.

A public conversation on this website

If you spoke with the website's assistant, the conversation window gives you a delete-only receipt (expand Manage your conversation recording and choose Save delete-only receipt). Use it to delete the recording yourself, or ask us through the form. Conversation records otherwise end 30 days after the conversation does.

A CHAI account

Our products share one sign-in, a CHAI account. If you have one, for example as a member of a business's staff, ask through the form. We delete the account: your sign-in, your email addresses and the links to any Google or Apple sign-in. Every session ends immediately. We keep only an identifier that names no one, so our security records still make sense.

Our products

CHAI Systems builds several products for businesses. Each product below says what it holds about you and how to have it deleted. A product may also explain this on its own pages; this page always covers every product.

Hotel Operations (pilot)

Hotel Operations runs a hotel's bookings, staff and guest services. If a hotel using it sent you a link to your booking, you can delete your guest sign-in yourself:

1. Open the link your hotel sent you and sign in. 2. Under Your data, choose Download my data first if you want a copy. 3. Choose Delete my guest account and confirm.

Your sign-in and its links to your bookings are deleted straight away, and you are signed out. You can also ask through the form.

Your booking itself belongs to the hotel. The hotel keeps its own records of your stay, such as the booking and the bill, under its own policy and the law it must follow. Ask the hotel if you want those deleted.

WhatsApp messages with a business

When you message a business on WhatsApp through one of our products, a hotel for example, the conversation belongs to that business, and the business decides how long it is kept. To stop messages, reply STOP. To have your messages deleted, ask the business; when it asks us, we delete them. WhatsApp itself, run by Meta, keeps its own copy under its own terms; see WhatsApp's privacy policy for that.

Copies kept for recovery

Deleting removes your information from our live systems. Copies remain for a limited time in encrypted backups, which we use only to recover from a failure:

What we may keep

We may keep information when the law requires it, for example records a hotel must keep for tax. If we cannot delete something, we tell you what and why when we answer you.

Complaints

If you are not satisfied with how we handled your request, you can complain to the Information Regulator of South Africa (inforegulator.org.za), or, in the EU or UK, to your data protection authority.
